Position: City Clerk (Administrative Support)
Location: South Bend, Indiana (100% onsite)

Overview of the City Clerk role:
• Serve as the front-facing administrative professional, greeting approximately 25 visitors daily and providing high-quality customer service.
• Support the Common Council by preparing agendas, distributing materials before meetings, and assisting with administrative needs.
• Act as the liaison between the public and council members—answering phones, taking messages, and facilitating communication.
• Manage various administrative tasks such as downloading notes into the system, scanning documents, gathering receipts, reconciling minor expenses, and processing light purchase orders.
• Occasionally handle special tasks like ordering flowers for city-related events.
• Utilize MS Office tools, including basic Excel (data entry and simple spreadsheets with pre-set formulas).
• Maintain a professional appearance and demeanor as the key representative of the Clerk’s office.
Preferred Qualifications for the City Clerk role:
• No degree or certification required, but a background in administrative support, customer service, or paralegal work is beneficial.
• Strong organizational skills and attention to detail are essential.
• Ability to prioritize tasks, manage a busy front desk, and maintain professionalism under pressure.
• Comfort with Microsoft Office, especially Outlook, Word, and basic Excel.
• Friendly and approachable personality, with a focus on getting things done in a busy, structured environment.
Salary: $43,000 to $47,000 annually depending on experience
Please Note: This role is 100% onsite with hours from 7:45 am to 4:30 pm Monday through Friday.
